Step-by-Step Application Process

Step 1: Enrol at a Spanish institution

Secure your place at an accredited Spanish school or university. You need the official acceptance letter before applying for the visa — it must include program name, start and end dates, weekly hours, and enrolment confirmation.

Step 2: Prepare your documents

Start the criminal record and MOFA apostille process first — it takes the longest. Arrange sworn Spanish translations in parallel.

Step 3: Book your embassy appointment

Contact the Spanish Embassy in Tokyo or Consulate in Osaka. Appointments can fill 2–4 weeks in advance, especially in summer.

Step 4: Attend your appointment

Bring all originals and copies. Biometrics may be taken. Your documents are submitted.

Step 5: Wait for processing

Processing takes up to 4–6 weeks from submission date.

Step 6: Collect your visa

Document preparation notes

Apostille: Japan is a signatory to the Hague Apostille Convention. Criminal record certificates and notarised documents are apostilled through the Ministry of Foreign Affairs of Japan (MOFA / 外務省). The process takes 1–2 weeks in person at MOFA in Tokyo or Osaka, or longer by post.

Criminal record certificate: Obtain from the Ministry of Justice (法務省) — the “Conviction Record Certificate” (犯罪経歴証明書) for foreign use. This is different from the domestic criminal record. Apply in person or by post; allow 2–3 weeks. The certificate is then apostilled at MOFA.

Sworn translator (traductor jurado): All Japanese-language documents must be translated by a sworn translator certified by Spain’s Ministry of Foreign Affairs. JITI-certified translators (Japanese Interpreters and Translators) are not accepted — the certification must specifically come from Spain’s MFA. Budget €80–150 per document; many Spain-based sworn translators accept scanned documents by email.

Health Insurance

Your policy must:

  • Provide minimum €30,000 coverage in Spain

Common Mistakes Japanese Applicants Make

1. Confusing the domestic criminal record with the “for foreign use” certificate The Ministry of Justice issues a specific “Conviction Record Certificate for Foreign Countries” (犯罪経歴証明書) — this is different from the domestic criminal record printout. Confirm you are requesting the correct document for overseas visa use.

2. Using a JITI-certified or Japanese agency translator Only a traductor jurado certified by Spain’s Ministry of Foreign Affairs is accepted. Japanese professional translators, however qualified, do not meet this requirement. Use a Spain-MFA certified sworn translator — many operate remotely.

3. Bank passbook printouts without apostille Japanese bank statements (通帳) must also be apostilled and translated if used as financial evidence. Alternatively, request an official bank balance certificate (残高証明書) which is easier to apostille.

4. Starting the process too late With the Ministry of Justice application, MOFA apostille, translations, appointment wait, and consulate processing, the realistic minimum is 12–14 weeks. Start 3 months before your course — earlier if possible.

5. Insurance with co-payment Many international travel policies sold in Japan include co-payments. The Spanish consulate strictly rejects these. Confirm “no co-pay” (copago cero) in writing before purchasing.
