Complete Document Checklist
Spain student visa requires 10–12 items depending on your consulate. Missing or expired documents are the leading cause of rejection — and most are fixable if caught before your appointment. Read each item in full; the format requirements matter as much as having the document.
In our experience reviewing applications before consulate appointments in Barcelona, the most frequently missing or incorrectly formatted items are: (1) criminal record without apostille, (2) health insurance with co-payments buried in the policy terms, and (3) bank statements without official bank headers. Catching these before the appointment saves weeks of rescheduling.
1. Passport
Requirements:
- Valid for 12+ months beyond intended stay
- Minimum 2 blank pages
- Original + 2 photocopies (photo page + all stamped pages)
- Previous passports with Schengen visas (if applicable)
Common issues: Passport expiring too soon, insufficient blank pages.
2. Visa Application Form (EX-00)
Requirements:
- Downloaded from Spanish consulate website
- Completed in Spanish or English (consulate-specific)
- Signed by applicant
- No corrections or white-out
Tip: Complete digitally, print, then sign by hand. Keep a blank copy in case of errors.
3. Passport Photos
Requirements:
- 2-4 recent photos (within 6 months)
- Size: 35mm × 45mm
- White background
- Face clearly visible, no glasses
- Color photo, high quality
Tip: Get photos taken at a professional studio familiar with visa requirements.
4. Acceptance Letter from Spanish Institution

- Start and end dates
- Weekly hours (must be 20+ hours/week)

- Minimum €600.53/month × course duration (100% IPREM — official 2026 figure)
- Account holder name matching passport
- Issued within 30 days of application
If using sponsor:
- Sponsorship letter
- Sponsor’s bank statements
- Proof of relationship
- Sponsor’s ID copy
See our complete Financial Requirements 2026 guide for the IPREM breakdown and the SMI misinformation that tripped up many 2026 applicants.

- Valid in Spain (not just home country)
- Minimum €30,000 coverage

Critical: Tourist or travel insurance is NOT accepted. See our Health Insurance guide for approved providers.
8. Criminal Record Certificate
Requirements:
- Issued by national police or equivalent authority
- Issued within last 3 months
- Apostilled (Hague Convention countries)
- Or legalized (non-Hague countries)
- Translated to Spanish by certified translator
Timeline: Allow 4-8 weeks total (certificate + apostille + translation).
Countries with slow processing: Russia (4-6 weeks), India (3-4 weeks), Pakistan (4-6 weeks).
9. Medical Certificate
Requirements:
- Issued by licensed MD/GP only (nurses and non-physicians are not accepted)
- Issued within last 90 days of your consulate appointment
- States no diseases affecting public health under IHR 2005
- Doctor’s name, license number, stamp, and signature

New requirement: Added for ALL applicants by Royal Decree 1155/2024 (effective May 2025). Previously only required for stays over 1 year. Now applies to every student visa regardless of course duration.

11. Flight Reservation

- Or bank transfer receipt (some consulates)
- Non-refundable
Document Preparation Timeline
The preparation timeline below is built around the two slowest items: criminal record (4–8 weeks from application to translated, apostilled copy) and bank history (6 months minimum, cannot be rushed). Everything else slots around these.
Follow this timeline for stress-free preparation:
Week 1-2:
- Request criminal record certificate
- Get passport photos taken
- Confirm school enrollment and request acceptance letter
Week 3-4:
- Receive criminal record, submit for apostille
- Schedule medical examination
- Purchase health insurance
Week 5-6:
- Collect apostilled criminal record
- Get certified translations done
- Gather bank statements
Week 7-8:
- Book accommodation or get invitation letter
- Make flight reservation
- Complete visa application form
- Organize all documents
Week 9-10:
- Final document review
- Make photocopies (2 sets)
- Attend consulate appointment
Document Format Requirements
Format errors — not missing documents — cause the majority of avoidable rejections. A criminal record without apostille, a bank statement without official headers, or an insurance certificate with hidden co-payments will all be rejected even if the underlying information is correct.
Translation Requirements
Documents requiring certified translation:
- Criminal record certificate
- Medical certificate (if not in Spanish/English)
- Bank statements (some consulates)
- Academic transcripts
- Birth certificate (for sponsorship)
Certified translator: Must be officially recognized in your country or Spain. Keep translator’s certification attached to each translation.
Apostille vs. Legalization
Apostille (Hague Convention countries): Single stamp from designated authority. Countries include: USA, UK, Australia, Russia, India, most EU countries.
Legalization (non-Hague countries): Multi-step process through Ministry of Foreign Affairs, then Spanish embassy. Countries include: Pakistan, Bangladesh, some African nations.
Timeline: Apostille: 1-2 weeks. Legalization: 3-6 weeks.
Common Document Mistakes
❌ Expired documents — Criminal record and medical certificate expire in 90 days. Time your application carefully.
❌ Missing translations — Every non-Spanish document needs certified translation.
❌ Wrong insurance type — Travel insurance rejected. Must be full health coverage.
❌ Insufficient copies — Always bring original + 2 photocopies minimum.
❌ Name discrepancies — All documents must match passport name exactly.
❌ Outdated bank statements — Must be issued within 30 days.
Avoid these and other common mistakes that cause rejections.

Frequently Asked Questions
How many copies of each document do I need?
Bring original plus 2 photocopies of every document. Some consulates require 3 copies. Check your specific consulate requirements before your appointment.
Do all documents need to be translated to Spanish?
Yes, all non-Spanish documents must be translated by a certified/sworn translator. Some consulates accept English documents—verify with yours before translating.
What is an apostille and do I need it?
An apostille certifies document authenticity for international use. Required for criminal record certificate and academic documents from Hague Convention countries. Non-Hague countries need legalization instead.
How recent must my documents be?
Criminal record: issued within 3 months. Medical certificate: within 3 months. Bank statements: within 30 days. Acceptance letter: valid for upcoming course dates.
Can I submit digital copies of documents?
No. Spanish consulates require physical original documents plus photocopies. Digital submissions are not accepted for student visa applications.
What if my name differs between documents?
All documents must show your name exactly as it appears in your passport. If there are variations, provide official documentation explaining the difference (marriage certificate, name change decree).
Do I need to show proof of accommodation?
Yes. Acceptable proof includes hotel booking, rental contract, or invitation letter from host with their ID copy and proof of address.
