Start at week 20 (5 months before your course) and work through four phases: school enrollment, document gathering, visa application, and TIE card. The two biggest variables — criminal record processing time and consulate appointment availability — can each consume 4–8 weeks, so every delay compounds downstream.

School accreditation is the single most important decision in this phase. A visa application for an unaccredited school is rejected automatically — and tuition fees are non-refundable. Verify accreditation before paying a deposit.

Week 20-18: School Research and Selection

Phase 2: Document Gathering (Weeks 15-8)

Start with the two slowest documents — criminal record and bank history — on the same day. Both take weeks and neither can be rushed. Every other document can be completed in days once these are in motion.

In our experience helping students prepare applications, the most common cause of missed course start dates is underestimating how long criminal record apostille and translation adds to the total time. Students from the USA often assume 2 weeks; the realistic figure including apostille and sworn translation is 5–6 weeks. Students from Russia, Morocco, or Pakistan should budget 8–10 weeks from application to translated, apostilled document in hand.

Week 15-14: Start Long-Lead Documents

Criminal record certificate:

  • Apply at national police or relevant authority
  • Processing: 2-8 weeks depending on country
  • Remember: Valid only 90 days from issue

Passport check:

  • Verify 12+ months validity remaining
  • Confirm 2+ blank pages available
  • Renew now if needed (add 4-6 weeks)

Week 13-12: Apostille and Translations

Tasks:

  • Receive criminal record certificate
  • Submit for apostille (1-2 weeks)
  • Arrange certified translation (3-5 days)
  • Start financial document preparation

Financial preparation:

  • Ensure bank account has required funds
  • Build 3-6 month transaction history
  • Prepare sponsor documents if applicable

Phase 3: Visa Application (Weeks 8-1)

Under RD 1155/2024, your visa application must be submitted within 2 months of your course start date. Too early is a procedural rejection. Too late and you miss the course. The window is narrow: submit at weeks 7–8, not before.

2026 Rule (RD 1155/2024): Your visa application must be submitted within 2 months (8 weeks) before your course start date. Submitting more than 2 months in advance can result in rejection on procedural grounds. Time your appointment accordingly — submit documents at week 7–8, not earlier.

Week 8-7: Book Consulate Appointment

Tasks:

  • Create account on consulate booking system
  • Book earliest available appointment
  • Note appointment requirements
  • Set calendar reminders

Appointment availability by country:

  • Most consulates: 1-4 weeks wait
  • Moscow, Russia: 4-8 weeks wait
  • Casablanca, Morocco: 4-6 weeks wait
  • New Delhi, India: 2-4 weeks wait

If no appointments available: Check daily for cancellations, consider nearby consulate, contact consulate directly.

The 30-day TIE deadline is a hard legal requirement, not a suggestion. Missing it creates administrative penalties and complicates your first renewal. Empadronamiento (town hall registration) must happen in week 1 — every subsequent step requires it.

Week 0: Arrival

At airport:

  • Have visa, passport, and acceptance letter ready
  • Immigration may ask about study plans

First day tasks:

  • Arrive at accommodation
